B2B flows

Invoices that get paid without a phone call.

A laboratory-supplies distributor sells to universities and clinics on account. Every invoice carries a Pay Now button, quotes turn into orders and then into payments, authorisations can be deferred until the goods ship, and each customer pays in their own currency. The accounts office chases fewer invoices because more of them pay themselves.

Why it matters

What changes for the business.

Days sales outstanding come down

A Pay Now link on the invoice is paid the day it is read. The accounts team spends its time on the exceptions.

Authorise now, capture on despatch

Deferred payment holds the funds and captures when the goods actually ship, with automated release of deferred orders that are ready.

Quote to cash on one order

A quote becomes an order, the order gets a payment link, the payment lands on the same Magento order with its PO reference.

Their currency, your account

GBP, EUR, USD and AUD on one Opayo account, matched to the store view the customer buys from.

How it works

Step by step, from the first switch-on.

  1. 1

    Send the invoice

Magento's invoice email and PDF carry a Pay Now button generated by the suite, unique to that invoice.

  2. 2

    The customer pays their way

Card, wallet or saved card, with 3DS2 handled. The payment is recorded against the invoice and the order.

  3. 3

    Or defer and release

For orders that ship later, authorise at order time and capture on despatch. Deferred orders are released automatically when they are ready.

  4. 4

    Reconcile from one place

Payments, invoices and orders line up in Magento and in the suite's reports, and flow to Xero, SAP or NetSuite if you use them.

Ways merchants use it

One accounts office, one week.

Distributors, manufacturers selling direct, and any store where a purchase order and an invoice sit between the basket and the payment.

The accounts manager at his desk with the invoice stack

Monday, the invoice run

Forty invoices go out with Pay Now on each. By Wednesday half are paid without anyone in accounts touching them.

The same manager in the warehouse beside a crate being packed

The order that ships in three weeks

A university orders equipment on back-order. The authorisation is deferred and captured the day the crate leaves the warehouse.

The same manager on the phone at his desk, invoice in hand

The clinic in Dublin

Quoted in euros, ordered in euros, paid in euros on the same account. The order in Magento shows the store currency and the settled amount.
