Phone orders & payment links

Take the deposit on the call, without hearing a card number.

A bespoke furniture maker agrees a commission on the phone and needs a deposit before the timber is ordered. The Payments Suite takes the order in the Magento admin and either sends the customer a secure prompt to enter their own card, or a payment link by email or SMS. The maker never hears a number, and the deposit is reconciled like any other order.

Why it matters

What changes for the business.

Phone sales inside Magento

Orders taken by phone are Magento orders from the first minute: the customer, the price, the stock and the invoice, not a note to key in later.

Staff never handle a card

With the secure prompt the customer types their own card on their own phone. Your team and your systems stay out of PCI scope for phone orders.

Deposits and balances that chase themselves

Send a link for the deposit today and schedule the balance for delivery day. Each payment lands on the same order.

Invoices people can pay in one tap

A payment link by email or SMS opens a hosted page with the amount already filled in. No portal to log into, no bank details to type.

How it works

Step by step, from the first switch-on.

  1. 1

Build the order in the admin

With the customer on the line, create the order in the Magento admin at their price, with their address and any notes. It is a normal order from here on.

  2. 2

    Choose how they pay

Send a secure one-time prompt to the customer's phone so they enter the card themselves, charge a saved card with consent, or send a payment link by email or SMS for later.

  3. 3

    Capture, part-capture or defer

Take the full amount, a deposit with a scheduled balance, or authorise now and capture on dispatch. Each movement is recorded against the order.

  4. 4

    Reconcile like everything else

Phone and link payments appear in the same reports and payouts as website orders, with refunds from the credit memo.

Ways merchants use it

Three places this earns its keep.

Makers, trade suppliers, showrooms and anyone who sells things that need a conversation first.

The commission

A walnut cabinet agreed on the phone. Deposit by secure prompt while they talk, balance link scheduled for the week the piece is finished.

The weeks in between

With the deposit in, the timber is ordered and the work starts. The balance link is already scheduled for the week the piece is finished, so nobody has to remember to ask.

Delivery day

The cabinet leaves the workshop wrapped in blankets. The balance link was paid the night before, so the handover is about the piece, not the payment, and the order closes in Magento as the van pulls away.

Questions

What merchants ask before they turn it on.

Is it PCI compliant to take cards over the phone?

With the secure prompt, yes: the customer enters the card themselves and your staff never handle it. That keeps phone orders inside the lightest PCI scope.

Can I take part payments?

Yes. A deposit now and a balance link later, each recorded against the same Magento order.

Does the link expire?

Yes, on a schedule you set, and it is voided automatically once paid.

Can a link be sent for an existing unpaid order?

Yes. Any Magento order with an outstanding balance can have a payment link sent from the admin, by email or SMS.

What does the customer see?

A hosted payment page in your branding with the amount, the order reference and the usual card and wallet options. They never see your admin.

Turn it on, or ask us first.

The payments team will tell you plainly what switching this on involves for your store, and what it costs.
