Phone orders (MOTO)

The back office takes the call and the order in one motion.

A parts distributor still sells a large share by phone. The agent looks the customer up, builds the order from the live catalogue with their negotiated prices, and takes the card with a secure prompt so nobody reads a number aloud. The order is in Magento before the call ends, ready for the warehouse.

30 days free. No card, no setup fee, cancel any time.

Why it matters

What changes for the business.

No second order-entry system

The phone order is a Magento order from the first line, with the customer's prices, so there is nothing to re-key and nothing to reconcile.

Card numbers never spoken

A MOTO payment by secure prompt, or a pay-by-link sent by email or SMS during the call, keeps card data out of the office.

The agent sees the account

Order history, terms, addresses and open quotes are on the screen, so the agent can answer the question the customer is about to ask.

Straight to fulfilment

The order lands in the pick queue with delivery notes and ship-to address, and the warehouse gets on with it.

How it works

Step by step, from the first switch-on.

  1. 1

    Find the account

Search live against Magento by name, phone or company. Group pricing, terms, addresses and history come with the record.

  2. 2

Build the order from the live catalogue

Search by part number or barcode attribute, add quantities, apply the account's tier prices, add a PO reference and delivery notes.

  3. 3

    Take the payment safely

MOTO through the configured gateway with a secure prompt, a pay-by-link sent by email or SMS, or the account's Net terms.

  4. 4

    Hand it to the warehouse

The order is in Magento with invoice and shipment behaviour set by the tender, visible in the store's pick queue immediately.

Ways merchants use it

One desk, one call, one order.

Distributors, parts and spares businesses, and any merchant whose best customers still prefer the phone.

The agent on a headset taking the order

The call

Forty-one previous orders on the account. The agent finds the part, checks stock at the warehouse and takes the card without hearing a digit.

The same agent handing a printed order sheet to a colleague

The pick

The order goes to the warehouse pick list before the call is over. The printed sheet is a courtesy; the warehouse already has it on its own till.

The same agent writing a note after the call

The follow-up

The agent notes the delivery date the customer asked for. It is on the order, on the receipt and in the warehouse queue.

Questions

What merchants ask before they turn it on.

Is a phone order a normal Magento order?

Yes. It is created in Magento immediately with the customer, prices, tender and delivery details.

How is the card taken?

By a MOTO payment through the configured gateway, or by a secure pay-by-link sent by email or SMS during the call. The agent never handles the number.

Can the order go on account?

Yes. Net 10, 15, 30 and 60 terms are tenders like any other, with a PO reference as an order comment.

Does the agent see the customer's history?

Yes. Orders, credit notes, lifetime sales, addresses and open quotes are on the customer card.

Can I use the Mac app for this?

The Mac app is built and awaiting release. Today the back office runs the iPad app; the Mac app will run the same flows.
